How to send an invoice email
An invoice email should identify the invoice, explain what it covers, state the amount and due date, and point the customer to the attached document and payment instructions. Keep the message short enough to act on.

Create your invoiceUse a subject the customer can find
Include your business or name and the invoice reference. Add a project name if it helps the customer recognize the charge. A subject such as “Invoice INV-2026-001 — Website copy” is easier to locate than “Payment.”
Keep sensitive account details out of the subject. Email subjects can appear in notifications and forwarded messages, so use them for identification rather than private payment information.
An invoice email example
This is an illustrative message. Replace the names, project, reference, amount and date with the details on the actual invoice. Do not leave sample information in an issued document.
Illustrative example
Subject: Invoice INV-2026-001 — Website copy Hi Alex, Attached is invoice INV-2026-001 for the agreed website copy project. The total is USD 400, due on 4 November 2026. Payment instructions are included in the invoice. Please use INV-2026-001 as your payment reference. Let me know if your billing team needs any additional project details. Thanks, Sam
Check the attachment and recipient
If payment details have changed, verify the change with the customer through an established contact route. A clear invoice does not remove the need to check an unexpected banking change.
- Open the downloaded file and verify names, amount, currency and due date.
- Check that payment instructions match the agreed destination.
- Use a recognizable filename such as INV-2026-001.pdf.
- Attach the file before sending and confirm the billing recipient.
Sending from Go Invoice Maker
Use Download to save the invoice, then attach it in your own email app. Go Invoice Maker does not send invoices automatically or track whether an email was opened. The website feedback form is for product feedback, not sending customer invoices.
PDF is a convenient fixed-layout attachment. If the customer requires another format, the builder also offers DOCX, PNG, CSV and JSON; choose the file appropriate for the recipient.
Keep the conversation easy to follow
Keep the invoice reference in replies and retain the issued document with the message. If the customer asks for a correction, identify the revised file clearly and follow the correction process appropriate to your records.
Check payment separately before following up. The email being sent or the invoice being downloaded does not establish that money has arrived.
