How to invoice as a freelancer

To invoice freelance work, describe the agreed deliverables or hours, identify the client and project, add your payment reference and due date, and send a checked copy to the right billing contact.

    Create your invoice

    Choose the billing basis

Use the basis agreed with your client: hours worked, a fixed project fee or a milestone. Make that basis visible in the line items. A charge for “three consultation hours” explains more than a generic “Services” entry.

For an hourly job, confirm the rate and any agreed time record. For a fixed-price job, identify the deliverable or stage being charged. Keep your contract or written agreement separate from the invoice.

    Example: hourly and fixed work

The following illustration combines two agreed kinds of work. It excludes tax, shipping and discounts; replace the rates with your own.

    Add the administrative details

Check the recipient before sending. A project contact may not be the person who handles accounts payable, and some customers need a particular reference to process the bill.

    • Your trading name or name and the client’s billing details.
    • An invoice reference, issue date and agreed due date.
    • A project, purchase-order or milestone reference where the client requires one.
    • The invoice currency, total and payment instructions.

    Review expenses and extra work

List agreed expenses or extra deliverables clearly. Do not surprise the client with charges that were not approved. If a cost needs explanation, use the item details field to add context.

A deposit or previous payment needs a clear record. Go Invoice Maker does not reconcile your bank or maintain a payment ledger, so confirm the balance in your own records before issuing the document.

    Create and send the document

Choose a template, language and currency in the builder. Enter your items, review the total and download a PDF. Open the exported file to check that the descriptions and payment details are readable.

Send it through your own email with a short explanation of the project and due date. Keep a copy outside the browser: the app’s local history depends on available browser storage and is not shared across devices.
