    Pro forma invoice vs invoice

A pro forma invoice outlines a proposed transaction before it is finalized. An invoice requests payment for the transaction being billed. A pro forma is not a substitute for the final invoice or proof of payment.

    A practical example

A customer asks a studio for the likely cost of a design package before approving the order. A pro forma can outline the proposed work, quantity and expected price. The customer can review it before deciding whether to proceed.

After approval, the studio follows its agreed billing schedule and issues an invoice for the relevant payment. If the scope changed during approval, the invoice needs to reflect the actual agreement rather than silently copying the earlier estimate.

Do not treat a proposal as a payment record

A pro forma describes an anticipated transaction. It does not establish that money was received or that a finalized invoice was issued. Keep proposals, issued invoices and payment confirmations distinguishable in your records.

For cross-border trade, customs and tax uses depend on the transaction and jurisdiction. This overview does not establish which document an authority will accept. Check the applicable requirements before using any document for a filing or clearance process.

What to verify when moving to the final invoice

    • The approved customer and seller details.
    • The actual items, quantities and agreed prices.
    • The billing currency and applicable adjustments.
    • The invoice reference, due date and payment instructions.
    • Any change from the proposed scope or cost.

    Using this invoice builder appropriately

Go Invoice Maker produces standard invoice documents. It does not offer a dedicated pro forma workflow, customs filing or tax-authority validation. Use it for the invoice after confirming the agreed details.

Choose a template for presentation and preview the exported document. Do not assume that changing a note turns a standard invoice into a compliant trade or tax document. Retain the proposal and final invoice separately so the history of the agreement remains clear.
